Attendance Scholarships for Fellows
Candidates must complete and submit their application with supporting documentation to be considered. The Course organizers will review completed applications on a first-come, first-served basis, and a decision will be issued upon review.) Accepted Scholarship applicants will receive an acceptance letter, including important information about their confirmed registration for the Summit, travel arrangements, hotel accommodations, and, if applicable, information about submitting a case for entry into the Fellows Case Competition.
Scholarships include:
- Registration, hotel accommodations, and travel expense reimbursement.
Please read the information below to learn about qualifying applicant criteria before completing and submitting your Scholarship Application. Selected applicants must attend all assigned sessions and activities.
Application Deadline: *September 10, 2025 (or until space is filled)
Notifications: Notifications will be issued within 1 week of application submission.
Scholarships include:
- Registration
- Hotel accommodations at the Hyatt Regency Reston, 800 Presidents Street, Reston, Virginia, on Friday, November 7 and Saturday, November 8, 2025
- Travel expense reimbursement
Applicants who commit to attending the Summit must attend all sessions.
Scholarship Eligibility Criteria
Fellows: First- or Second-year Fellows currently enrolled in (or entering) a clinical cardiac electrophysiology fellowship program and Cardiology Fellows currently in/or entering their final year who are tracking toward Electrophysiology may attend. Previous Summit attendees are not eligible for a Scholarship. A limited number of international fellows’ scholarships are available.
International Scholarship Applicants: We require proof of an approved travel visa before officially approving your scholarship.
Accepted Application Notification
Accepted Scholarship applicants will receive an acceptance letter via email, including important information about their confirmed registration for the Summit, travel arrangements, and hotel accommodations.
Case Competition Participation *Optional
Scholarship recipients are encouraged to enter a unique case into the Case Competition that focuses on a complex procedure, complication management, or advanced/novel technique in treating a complex arrhythmia. The Program Committee will judge submitted cases, and the authors of the three best cases will present their work during the Case Competition Session. The overall winner will receive a $1,500 honorarium and a plaque to commemorate their accomplishment, and the runners-up will each receive a $500 honorarium.
*While not required, entry of a Case into the Competition is encouraged. Participation is limited to on-site attendees who qualify for a Scholarship. Cases may be submitted during Scholarship Application Submission or separately (by October 17, 2025). Learn More >>
Scholarship Waitlists
Once the maximum number of Scholarships is reached, applicants will be placed on a waitlist. Once a waitlist is formed, qualified applicants will be moved to a Scholarship recipient list as openings become available. The waitlist order will be prioritized based on the order in which applications are received.
Travel, Accommodations, and Reimbursement
- The organizer, MediaSphere Medical, will reimburse coach airfare up to $500 USD with required documentation and reimbursable airport transportation.
- Scholarship recipients who choose to drive to the Summit will be reimbursed for car mileage (at the prevailing government rate).
These expenses are reimbursable:
- Ubert/Lyft/Taxi from the Airport to the Conference
- Uber/Lyft/Taxi from the Conference to the Airport
*Black Service/Uber XL is not reimbursable - Mileage rate should you drive to the event
- Parking at the Hotel if you drive to the event
- Scholarship recipients should not book their travel before receiving an acceptance notification. If accepted for a scholarship, detailed booking instructions will be supplied for travel, and hotel reservations will be made on their behalf at the Hyatt Regency Reston, 800 Presidents Street, Reston, Virginia.
- Scholarship applicants who are accepted will not have their registration confirmed until they make travel reservations by the deadline stated in the acceptance letter.
- Scholarship recipients must attend all Summit sessions and activities to be eligible for reimbursement.
- Reimbursements, if applicable, will be processed up to 4 weeks following the completion of the Conference.
- Scholarship recipients will receive additional details about expense reimbursement following their acceptance.
Hotel Room Reservations
- MediaSphere will book and pay for 2 nights at the Hyatt Regency Reston (room and tax only) on Friday, November 7 and Saturday, November 8, 2025.
- Scholarship recipients should not book their hotel rooms independently, and MediaSphere will not cover or reimburse for reservations made directly.
- Scholarship recipients must provide a credit card upon arrival to guarantee hotel booking.
- Cancellation Charge: The hotel will not charge any scholarship recipient who cancels attendance at the Summit in writing up to 3 days before their scheduled arrival date. However, if a cancellation occurs less than 3 days before the expected arrival, a one-night room fee and tax will be incurred, which will not be reimbursed.
Non-reimbursable expenses:
- Local transportation
- Meals outside of course functions
- Guests' travel and expenses
- Extra-person charges at the hotel
- Cancellation fees imposed by hotel or airline
- Miscellaneous expenses
Cancellation Policy
- Scholarship recipients will be required to submit a cancellation request immediately.
- Scholarship recipients will not be reimbursed for any expenses—including transportation and hotel cancellation fees—if attendance is canceled.
- Scholarship recipients must cancel hotel reservations by contacting MediaSphere Medical, or they will be invoiced for a one-night room and tax fee if not canceled at least 3 days before the Summit.
